This Privacy Policy describes how Cleandrop ("we", "us", or "our") collects, uses, discloses, and protects personal information when you access our websites, mobile applications, and related services (collectively, the "Platform"). The Platform is designed to help organizations orchestrate field operations—for example by coordinating employees, contractors, vehicles, routes, jobs, and related resources ("Orchestration").
1. Who this policy applies to
This policy applies to visitors to our marketing sites, account administrators and other authorized users of the Platform ("Users"), and—where your organization uploads or syncs their data—individuals whose profiles appear in your workspace (for example employees or contractors) ("Workspace individuals"). If you are a Workspace individual and have questions, please contact the organization that invited you to Cleandrop; we process your information on their instructions as a processor where applicable.
2. Acceptance and purpose of processing
By creating an account, inviting others to the Platform, or otherwise using Cleandrop, you acknowledge that personal information you and your organization provide may be processed to deliver Orchestration, including scheduling, routing, assignments, notifications, analytics, audit logs, and—where enabled—automated or AI-assisted recommendations to help balance workloads and coverage.
Where required by law, we rely on appropriate legal bases such as performance of a contract, legitimate interests (for example securing and improving the Platform), your consent (for optional communications or certain cookies), or legal obligation.
3. Information we collect
3.1 Account and profile data
Name, work email, phone number (if provided), organization name, role, authentication credentials (passwords are stored using one-way hashing), billing and subscription details, and communications you send to us (for example support tickets).
3.2 Operational and Orchestration data
Depending on how your organization configures the Platform, we may process data you or your organization submits or generates, such as: staff or contractor identifiers, shift and availability information, job or booking details, route and zone definitions, vehicle or asset identifiers, status updates, timestamps, notes, attachments, and in-product messages. If your organization enables location features, approximate or precise location associated with a device or job may be collected as described in-product and in your agreement with us.
3.3 Technical and usage data
IP address, device type, operating system, browser type, diagnostic logs, crash data, pages or screens viewed, and similar metadata used to secure the Platform, troubleshoot issues, and understand aggregate usage trends.
3.4 Cookies and similar technologies
We use cookies and similar technologies for authentication, security, preferences, and analytics. You can control many cookies through your browser settings; strictly necessary cookies may remain required for core functionality.
4. How we use information
- Provide, operate, and maintain the Platform and Orchestration features.
- Authenticate Users, enforce permissions, and prevent fraud or abuse.
- Generate in-product analytics, reporting, and—where offered—AI-assisted suggestions to support routing and staffing decisions initiated by your organization.
- Communicate about the service, security alerts, and—where permitted—product updates or marketing (you may opt out of marketing as described below).
- Comply with law, respond to lawful requests, and defend our rights.
- Improve reliability, performance, and security of the Platform.
5. Automated processing and AI features
Some features may use rules engines, heuristics, or machine learning to propose assignments, detect anomalies, or prioritize tasks. Unless otherwise stated in your order form or product documentation, these outputs are assistive: your organization remains responsible for operational decisions. We may monitor model quality using aggregated or de-identified metrics where permitted.
6. How we share information
- Service providers. Hosting, infrastructure, email delivery, analytics, payment processing, customer support tooling, and security vendors that process data on our instructions.
- Your organization. Users within the same workspace can see information according to the roles and settings your administrator configures.
- Legal and safety. We may disclose information if required by law, regulation, legal process, or governmental request, or when we believe disclosure is necessary to protect the rights, property, or safety of Cleandrop, our customers, or others.
- Business transfers. In connection with a merger, acquisition, financing, or sale of assets, information may be transferred subject to appropriate confidentiality obligations.
7. International transfers
We may process and store information in countries other than where you live. Where required, we implement appropriate safeguards (such as standard contractual clauses) for cross-border transfers of personal data originating in the EEA, UK, or Switzerland.
8. Retention
We retain personal information for as long as your account is active, as needed to provide the Platform, and as necessary to comply with legal obligations, resolve disputes, and enforce our agreements. Retention of Workspace data may also be governed by your organization's settings and your contract with us.
9. Security
We implement technical and organizational measures designed to protect personal information. No method of transmission or storage is completely secure; we encourage strong passwords, multi-factor authentication where available, and limiting access within your organization.
10. Your rights and choices
Depending on your location, you may have rights to access, correct, delete, restrict, or object to certain processing of your personal information, or to data portability. You may also have the right to lodge a complaint with a supervisory authority. To exercise rights relating to data your employer controls on the Platform, contact your organization first. To exercise rights with us directly, email privacy@cleandrop.com. Marketing emails include an unsubscribe link where applicable.
11. California and U.S. privacy notices
If you are a California resident, you may have additional rights under applicable state privacy laws (for example, to know, delete, or opt out of certain sharing). Contact us at the email above with your request. We do not sell personal information for monetary consideration as traditionally defined; we may use cookies for analytics as described in this policy.
12. Children
The Platform is not intended for children under 16, and we do not knowingly collect personal information from children for consumer purposes. Workforce data about minors may be processed only where permitted by law and strictly as required by your organization's legitimate operations.
13. Changes to this policy
We may update this Privacy Policy from time to time. We will post the revised version on this page and update the "Last updated" date. Where changes are material, we will provide additional notice as required by law (for example, via email or in-product notification).
